Job Title: Executive Assistant

Location: Oakland County, Michigan

Job Type: Full-Time | 35 Hours/Week | Salary, Non-Exempt

About the Executive Assistant Position

Our client, located in Northern Oakland County, is looking for an Executive Assistant to support administrative operations for multiple departments. The Executive Assistant plays a key role in coordinating department communications, maintaining records, preparing reports, and assisting with programs and public services. The ideal candidate thrives in a fast-paced environment and is committed to providing excellent internal and external customer service. The Executive Assistant will report directly to the Supervisor.

Key responsibilities include handling all clerical functions for the Supervisor’s department, maintaining files for the Supervisor and Planning department and compiling and creating statistical and other reports as requested by the Supervisor and Building and Planning departments

Additional Responsibilities include, but are not limited to:

  • Provide general administrative and clerical support, including answering phones and managing files
  • Prepare and organize reports, correspondence, and meeting materials
  • Coordinate meetings, schedules, and communications across departments
  • Maintain records, forms, and data entry in internal systems
  • Support special programs such as community development grants and zoning/planning boards
  • Serve as a point of contact for residents, vendors, and service providers
  • Assist with departmental technology, scheduling, and office supply management
  • Support interdepartmental collaboration and provide backup coverage as needed
  • Ensure timely and accurate processing of applications, permits, and related documents
  • Other duties as assigned

Required Education, Skills and Abilities

  • High school diploma or equivalent required; some college coursework preferred
  • Minimum 2 years of administrative or office experience, preferably in municipal or government settings
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office and comfortable learning new software (e.g., BS&A, GIS)
  • Exceptional organizational and multitasking skills
  • Ability to maintain confidentiality and work effectively with the public and cross-functional teams
  • Familiarity with reviewing blueprints or site plans is a plus
  • Notary certification or willingness to obtain one is preferred

Physical Demands

This position involves regular sitting, walking, standing, and light lifting (up to 30 lbs). Candidates must be able to use standard office equipment and interact effectively in person, over the phone, and in meetings.
