We are currently seeking a versatile and detail-oriented  Administrative Assistant  to support our operations, sales and leadership team.

Job Summary:

We are looking for an experienced  Administrative Assistant with a background in  accounting, marketing, purchasing prospecting and   Microsoft licensing . The ideal candidate will be proactive, highly organized, independent, able to learn quickly, and capable of managing diverse tasks in a fast-paced environment.

Key Responsibilities:

Administrative Support

  • Strong verbal and written communication skills to manage and email correspondence internally and with customers
  • Proofreading marketing collateral, website pages, and summarizing vendor contracts
  • Maintaining data in CRM, including customer quotes, vendor contacts, opportunities and vendor quotes
  • Manage administration for projects, Zoho Projects, for monitoring of renewals, projects, etc.

Accounting

  • Assist with customer invoice processing, vendor invoices and other accounting tasks in Quickbooks Online (QBO)
  • Receive checks and other payments in QBO
  • Reconcile various accounts in QBO (credit cards, etc.)

Marketing/Prospecting

  • Support and help drive digital marketing efforts, including content creation, email campaigns, prospecting/social media
  • Make calls and set up discovery calls with prospective clients

Purchasing/Management of Renewals

  • Fully responsible for the process working directly with customers to quote/invoice/order for renewals for vendor coverage and licensing
  • Coordinate/monitor procurement of office and operational supplies
  • Oversee person who cleans the office bi-weekly
  • Manage vendor relationships and partnership programs

Microsoft Licensing

  • Manage customer licensing for Microsoft, Adobe, other vendors
  • Track license and coverage renewals and usage both internal office and for external customers

Qualifications:

  • 2+ years of experience in an administrative role with exposure to accounting, marketing, and purchasing/procurement a plus
  • Familiarity with Microsoft 365 administration and license management
  • Strong Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational, multitasking, independence and communication skills
  • Experience with accounting software, CRM, and marketing tools is a plus
  • Familiarity with Cisco/distribution procurement process and sites a plus
